This notice explains what this website collects, who processes it, and what you can do about it. It covers this site only.

Analytics and cookies

We use Google Analytics 4 to understand how visitors use the site — which pages are viewed, and roughly where traffic comes from — so we can improve it. It sets cookies (_ga and _ga_*) and processes information such as a truncated IP address, device and browser type, and pages visited.

Analytics on this site is served through our own domain, so your browser does not contact Google directly. The data still reaches Google, which processes it as our analytics provider — routing it through our domain is not anonymisation and we are not claiming it is.

We do not use any of this for advertising. We do not run ads on this site, we do not use analytics data to personalise advertising, and we do not sell it.

Your choice

Analytics stays off until you allow it. The first time you visit, we ask; no analytics cookies are set unless you choose “Allow analytics”. If you decline, none are set at all.

Off does not mean silent, and we would rather say so. Before you answer — and afterwards, if you decline — Google is still told that a page here was viewed, along with the ordinary details any web request carries: which page, your browser and device type, and your IP address, which our server passes on with the signal. What it does not include is any way to recognise you: no analytics identifier is stored on your device, and one visit cannot be joined up with the next. Choosing “Allow analytics” is what turns on the cookies and the fuller measurement described above; declining leaves it at this minimum rather than switching it off altogether.

Your answer is stored in a cookie named cybpro_consent and we ask again after about 6 months. Clearing your site cookies at any time makes us ask again straight away.

How to opt out

Declining when asked stops the cookies and the measurement described above. As the previous section says, it does not stop the basic signal. To stop that as well, block scripts or cookies for this site in your browser settings, or use a content blocker. Google also publishes an Analytics Opt-out browser add-on; we have not tested it against this site, where analytics is served from our own domain rather than from Google’s, so we cannot promise it applies here. None of this affects your ability to use the site.

Gun Bash news by email

If you sign up for updates we store the first name, email address and — if you give one — mobile number you enter, together with the date and the exact wording you agreed to. We use them to send news about the Gun Bash and nothing else, and we do not sell or share the list.

We do not send text messages. Nothing on this site sends one. The signup asks your permission for texts as well as email because the club may add them later; until it does, a mobile number you give is stored with your record and goes unused.

You need to confirm by email before we can send you anything, so an address entered by somebody else never joins the list. You can leave at any time using the link at the bottom of every update we send, or by calling 443-591-8218.

How you leave decides what we keep. If you use the link in an update, we keep your record and mark it unsubscribed: we stop sending, and your address being typed into the signup box again does not put you back on the list. If you ask us by phone, an officer deletes your mailing-list record outright — that record is gone rather than marked. It also means there is nothing left to recognise you by, so a later signup with your address starts from scratch, and you would have to confirm by email again before anything could be sent to you.

Deleting that record does not reach anything you sent us separately. A sponsorship application and its artwork are kept as described below; and if an update we sent you had bounced back, the delivery-failure note stored with that newsletter can still contain your address. If you want those removed as well, ask us — see Contact, below.

Sponsorship applications

If you apply to sponsor the event we store the business and contact details you enter and the artwork file you upload. We use them to produce your banner and the shirts, and to contact you about your sponsorship.

Uploaded artwork is stored outside the public website: nothing serves it to the internet, and through the site itself it can be opened only by a club officer signed in to the admin area. It is also readable by whoever administers the server, named below. It remains yours; we use it for this event and do not license it to anyone else.

Who else processes this

The site is built and maintained for the club by CybPro Web Solutions, whose staff administer the server and can read what is stored on it. It runs on Microsoft Azure in the United States and is served through Cloudflare. Email is delivered using Google Workspace. Analytics is processed by Google.

We do not take payments on this site, so no card details are collected, transmitted or stored anywhere in it.
